Supervisor
Responsibilities
Planning
- Prior
to each semester, or break period, the Financial Aid Office will send
a Federal Work Study (FWS) Request Form to all departments. The supervisor
should use that form to request the placement of work study students
within the department. Requests for specific student employees would
be made on this form.
- Additional
requests may be made to the Financial Aid Office during the year. Eligible
students will continue to be referred as they are available and funding
permits.
- A department
should not request more work study students than it needs.
- Although
the Financial Aid Office does not solicit requests for break periods,
a department may request coverage. This should be done in writing.
Placement
- Students
we feel may be able to meet your needs will be referred to you for consideration
by the Financial Aid Office.
- Supervisors
should interview prospective FWS students for suitability for the job
to be performed. Besides meeting your requirements (special skills,
availability for work), the student must have the proper FWS
Authorization form from the Financial Aid Office which indicates
the number of hours he/she may be employed per week, the dates of employment
and the dollar amount of the award. Students without such authorization
should be referred directly to the Financial Aid Office before further
consideration can be given for employment.
- Students
not meeting the requirements for a job should be advised and should
return to the Financial Aid Office for placement in another position.
Check "not hired" on the authorization form and sign.
- If a
student is acceptable for employment, the supervisor should sign the
authorization form, check "hired", and give the gold copy
to the student. The supervisor keeps the pink copy and the student returns
the white and yellow copies to the Financial Aid Office.
Time
Cards
- When
you, the supervisor, sign a time card, you are indicating that the student
worked for those hours. Therefore, you must be responsible for the hours
indicated by the student.
- Supervisors
are required to complete and sign all time cards.
- Supervisors
are responsible for seeing that time cards are turned into the Payroll
Office bi-weekly. Students are not to deliver their own time cards.
Any College employee may deliver the time cards. A late time card will
result in an additional two-week delay in payment. Any complaints concerning
such matters will be referred to the supervisor.
